Job Summary

The Database Administrator (DBA) manages the Student Information System (SIS).  Responsible for maintenance, availability, integrity, and security of the division’s SIS.  Responsible for Student Information System database management and security as well as providing end-user support, reporting functions, and design of specialized utilities.  Primary contact for the system’s vendors and user-groups.

Duties and Responsibilities

  • The SIS DBA analyzes end-user requirements, determines report functions and capabilities including specific output layouts with detail and summary items, break-out subtotals and totals, etc. Output may be in the form of paper reports, web pages, or other delivery media.
  • Applies SIS system patches and upgrades as provided by the system vendor. Tests, debugs, installs, and maintains computer programs and all appropriate system and end-user documentation and instructions.  Coordinates with other members of the division in developing comprehensive end-user training, including accurate data input and validation.
  • Serves as Systems database manager and systems operator, and performs end-user support including setting up user profiles, assigning security controls, and storage management. Analyzes data handling procedures for efficiency, effectiveness, and security.  Assists or performs audit trails.  Performs routine and periodic backup and restore operations.
  • Analyses all observed and reported system errors affecting the division Student Information System. Recommends or develops procedures and processes to prevent errors from occurring and data/program recovery procedures to assure maximum data integrity. Reports errors to the system vendor and coordinates responses, fixes, and patches as required.
  • Develops/implements database updating, reporting, archiving, and maintenance routines, process, and procedures. Meets with end-users to determine reporting needs and develops solutions to meet those needs.
  • Develops complex queries and routines for data extractions, uploads, and processing for various third-party systems, Virginia DOE reporting, and online SOL testing purposes. Verifies data integrity and works with responsible personnel to resolve errors.

Minimum Qualifications (Knowledge, Skills and/or Abilities Required)

  • Degree in Management Information Systems, Computer Programming, Database Administration, or related field of study or comparable certification such as MCDBA, MCSD, is desired; Master’s Degree in related area is preferred, or equivalent level of experience in designing and maintaining enterprise-level database systems and programs may substitute.
  • At least 4 years’ experience maintaining and administering SQL compliant database systems such as SQL Server, Oracle, or MySQL. Advanced knowledge in data retrieval tools such as SQL and/or Crystal Reports.  Must be familiar with application systems/programming in a Windows environment and web applications.
  • Knowledge of and experience with VUE or similar Student Information System in a database administrator role is preferred.
  • Ability to make independent or team decisions in accordance with established policies; analytical and deductive ability in problem solving; ability to establish and maintain harmonious working relationship with others; skilled in conflict resolution and self-motivated.
  • Ability to communicate effectively both orally and in writing. Must be able to supervise junior level personnel and advise, track, and monitor work performances of those employees as assigned.
  • Maintain a valid VA driver’s license.

Working Conditions and Physical Requirements

Extensive hand-eye coordination is required to make use of computers, keyboards, mouse, ability to safely work in and around electronic equipment. Must be able to apply exceptional professional customer service in what can be highly stressful situations while maintaining a professional composure.  Must be able to sit at a desk for prolonged periods.  Must be able to complete repetitive motions, use a keyboard and/or mouse, and perform repetitive tasks. Must be comfortable in performing mundane tasks as well as being able to quickly switch from one task to another as situations warrant.  Must be comfortable working alone, as well as in front of groups of people.  Must be able to properly prioritize competing requirements and be comfortable working with tight deadlines and schedules. May be exposed to electrical shock hazards while working on computers and related equipment. Technical support may involve physically moving hardware and supplies, and may require frequent travel among various sites.  Requires the physical ability to lift equipment up to 50 pounds, and the ability to climb and work on step ladders to pull and run overhead cables.  Hours of work may vary, including some overtime, evening, and weekend hours.
